How to use Fostem

Short answers for what you do most. Can’t find it? Use Chat with us. Our AI assistant answers straight away, any time. A person in our team picks up anything it can’t, Monday to Friday 8.30am–6pm.

For foster carers

Putting Fostem on your phone

There’s nothing to download from an app store. On an iPhone, open app.fostem.com in Safari, tap Share, then Add to Home Screen. On Android, open it in Chrome and tap Install app (or the menu ⋮ → Add to Home screen). It then opens from its own icon, full screen, and works with no signal.

Writing today’s log

Tap Write, choose the child, tap a few check-in buttons and write what happened: when, where, who was there and what was said. It saves as you type, even with no signal.

Something worrying happened

If anyone is in danger, phone 999 or your agency’s out-of-hours line first. Then choose Significant event. Fostem tells the right people for you.

Medicine

Choose Medication. One entry per dose, including doses refused or missed.

Several days at once

On a daily diary choose Several days, for example after a holiday. Anything worrying still needs its own log on the day.

Daily reminder

If today’s diary isn’t written by the time your agency chooses, you get one reminder. Never once it’s done.

Payments and claims

Open Payments to see what you’ve been paid and to claim mileage or expenses.

No signal

Write as normal. Your log waits on your phone and sends by itself when you’re back online.

For supervising social workers

My day

Your households only: concerns to review, most urgent first, checks due and claims to approve.

Reviewing a concern

Open it, acknowledge it so the carer knows you’ve seen it, add notes, then close it with what was done. Critical concerns are closed by the registered manager.

Recording a visit

Open the household and use Add a record. Fostem works out when the next one is due.

For registered managers and owners

Getting started

Add your out-of-hours number in Settings, then households, children and invitations under Children & carers.

Moving from CHARMS or another system

Ask your supplier for a full export, then use Settings → Move your data. Fostem checks everything before it is saved, and you can undo a practice run. Stuck? Ask on chat and we’ll help, free. Never send records by chat or email.

Staying inspection-ready

Ofsted readiness and Compliance are worked out from your records, so they are always current.

Your trial and subscription

30 days free, no card. Reminders come 7, 3 and 1 days before it ends. Subscribe in Settings; yearly billing gives 2 months free.

For finance

A payment run

Payments → Prepare run. Fix anything marked “Must fix”, send for approval, then download the BACS file and the accountant export.

Changed bank details

Phone the carer on a number already on file, then press “I phoned and confirmed”. Someone else must do this if you made the change.

For anything urgent about a child, contact your agency’s out-of-hours line. Fostem chat is not for emergencies; if a child is in immediate danger, call 999.
